What to check before releasing a work order

A scheduled start date is only one condition. The site also needs a defined scope, an available crew, materials and an authorized drawing revision.

Work order remains held until all release conditions are met.

Illustrative workflow records

1. Reference the planned work

Start with the WBS item, location and quantity. The work order should retain these references so a later change can be traced to its source. Name the responsible supervisor and crew; avoid a description such as “work on Level 5” without the actual scope.

2. Check the issued drawing

The latest uploaded file may still be a draft. Check revision, purpose of issue and approval status. If the reference is superseded, document control and the supervisor need to review the affected work before proceeding.

3. Confirm material and crew conditions

A purchase order does not prove the material is on site. Check the receipt and required inspections. Likewise, a crew assignment does not prove attendance or availability. Review the shift, relevant qualifications and unresolved safety conditions.

4. Keep execution and acceptance separate

The site team reports quantities and records evidence. QA/QC performs the required review before acceptance. QS then uses accepted quantities and supporting records in the payment application. A reported quantity must not jump straight to a payable amount.

Check with the team

  • WBS, location and quantity are identified.
  • The drawing revision is authorized for the task.
  • Materials and the crew have been checked.
  • Open conditions have an owner and follow-up date.
  • Inspection and handover requirements are clear.
