Procurement

Follow a material request through ordering, delivery and receipt.

Site teams raise material requests with specifications, quantities and required dates. Purchasing prepares orders and follows supplier deliveries; warehouse staff record actual receipts so the supervisor can check shortages against the planned work. When the site runs late or early, the need-by date changes and supply partners are told the new date.

Process

How the work moves in ACMS

  1. 1

    Raise the demand

Identify material, specification, quantity, destination and required date from the planned work.

  2. 2

    Prepare and approve the order

Compare quotations and prepare the purchase order. Approval follows the organization’s responsibilities and limits.

  3. 3

    Follow the delivery

Check the confirmed delivery date against the work need. Notify the responsible planner when the supplier changes the date.

  4. 4

    Receive and reconcile

Count received quantities, record inspections and compare receipt and invoice evidence with the purchase order.

On site

When something goes wrong

What happens

The truck arrives with 8 tonnes against a 12-tonne order.

How it is handled in ACMS

The warehouse records the actual receipt and any quality issue. Purchasing confirms the remaining delivery. The site supervisor checks whether the available quantity is enough for the planned work.

Preparing a demo

What to bring

A material request, purchase order, supplier delivery confirmation and receipt. Include a partial delivery to review how the remaining quantity is tracked.

Is receiving the same as accepting the material?

No. Quantity received and inspection or acceptance status must be distinguished. Required checks depend on the material and the agreed process.

What happens if the delivery date changes?

Keep the supplier’s confirmed change with its source. Review the linked demand and work package before adjusting the construction plan.
