1. Start with a confirmed change
“The steel is late” is not enough context. Identify the purchase order, affected line, previous date, new date and the supplier’s confirmation. The assistant should only use records available within the user’s project and document permissions.
2. Inspect the affected work
Follow the material demand to the work package and work order. Review the crew calendar and successor tasks. A possible impact is an inference until the relevant dates, dependencies and available stock have been checked.
3. Review assumptions in the proposal
A proposal to resequence work should state which dates change, which records support the change and what is still unknown. The project manager needs to see those assumptions, not just an answer saying the delay has been solved.
4. Keep approval with the responsible person
An AI-generated response is not a purchase approval, a new baseline or a payment authorization. The responsible person checks the source records and assumptions before approving and carrying out the proposed change.
